We are currently seeking an administrator to join our Warehousing team on a permanent basis. The Warehousing team is responsible for handling pulp and timber cargo and container packing operations. 

About the Role:

The Warehouse/Terminal Administrator, reporting into the Operations Supervisor - Warehousing, provides coordination and administrative support to the Warehouse and Terminal Services team to ensure efficient and effective service delivery for our customers. This role plays a key part in supporting our Warehouse team by managing accounts, maintaining strong customer relationships, and providing administrative assistance to the Operations Supervisor.

Key responsibilities:

  • Plan for shipping requirements, resolve day to day issues, and provide responsive service to customers and internal stakeholders.
  • Tallying, data management and regular stock takes; maintain accurate records and reporting. 
  • Administration: Raise purchase orders, process invoicing and reconciliations, and keep data clean across our systems.
  • Vessel administration & support: Create and maintain vessel records, manifests and related documentation; coordinate with terminal planning/logistics as needed.
  • Maintain and administer billing (contracts, invoicing, checks) in line with established procedures. 
  • Import/Export documentation. 
  • Support the continued integration and use of Navis N4 and related portals (EDI/VBS/Import Portal/export pre advice). 
  • Provide timely support to operating teams as issues arise; help drive operational delivery and customer value.
  • Champion health and safety; identify opportunities to improve procedures and practices.

About you:

  • Experience in administration and customer service (transport/shipping/logistics experience an advantage).
  • Strong IT skills, with proficiency in Microsoft Office; exposure to Navis N4, EDI and VBS portals is an advantage but not essesntial.
  • Clear, professional communication, both written and verbal, and strong relationship skills.
  • Excellent time management, with proven ability to prioritise, maintain accuracy and meet deadlines in a dynamic environment.
  • This role requires a minimum of 40 hours over a 7-day period including both day and afternoon shifts, as well as ad hoc weekend shifts. Flexibility around hours is essential.
