Te Oranganui Trust is seeking expressions of interest for the provision of high-quality executive secretariat support to Te Tumu Herenga Waka, the board of Te Oranganui. The role is approximately 10 hours per week.

To be successful in this role, you will provide high‑level governance, planning, and administrative support to ensure Te Tumu Herenga Waka and its leadership can operate effectively. This includes:

Governance support 

  • Provide administration support and secretarial services to Te Tumu Herenga Waka as required. 
  • Work with the Pouherenga and Mātaiwhetū (CEO) to ensure governance secretarial and administration needs are being met. 
  • Demonstrate the ability to capture key points of discussions clearly and concisely. 
  • Demonstrate efficient and accurate minute and note taking skills. 
  • Support development and writing of agenda items and other reports as directed by the Pouherenga. 
  • Collate documents for distribution to specification and deadline. 
  • Be the first point of contact for governance enquiries and respond in a timely manner. 
  • Able to work with governance and Mātaiwhetū (CEO) and ensure confidential information is held in a discreet and sensitive manner. 
  • Maintain an accurate file and record of meeting proceedings, minutes, resolutions, and action register. 
  • Present high-quality documentation always. 
  • Setup, organise and manage manual and computer document management systems 
  • Work with Te Taituarā (Business Unit) for any resource planning including purchase orders and budgeting processes as necessary.

Planning and coordination 

  • Provide excellent planning and organisation skills against thorough and methodical work habits. 
  • Deliver work under pressure and to immediate deadlines in certain circumstances. 
  • Coordinate and organise hui Te Tumu Herenga Waka and attend in person (or online), including catering, room booking and setup as required. 
  • Assist with planning of governance events, activities, and projects as required e.g. AGM, strategic planning and training days, new board members induction packages 
  • By negotiation, work of governance projects and activities outlined in annual plan 
  • Ensure Trust Deed and Governance Manual with policies are kept up to date and reviewed and adhered to. 

Computer Literacy & Skills 

  • Demonstrate high computer literacy and proficiency with a range of software applications including the MS suite and board management software as necessary. 
  • Develop expertise in the use of all office software and equipment. 
  • Provide excellent written and verbal communications to a range of stakeholders using a range of tools and technology platforms.
