Due to an internal promotion, we are looking for a new Scheduling Administrator for our Hauora Heretaunga practice.

Our Organisation

Te Taiwhenua o Heretaunga (TToH) is a Ngāti Kahungunu mandated, kaupapa Māori values-based health and social services organisation providing health and community services to whānau along the East Coast of the North Island, from Mahia to the Wairarapa. Our health, social, education and community development teams have been working successfully for whānau for over 38 years.

Our Hauora Heretaunga Medical Practice is a low cost, high needs service dedicated to providing accessible and equitable healthcare to whānau in our local community. We operate under the Nuka Model of care with integrated teams made up of GPs, Nurse Practitioners, Nurses, HIP and Health Coach, Whānau Manaaki and Support staff to support whānau with their health needs.  Our medical centre is based in Orchard Road, Hastings as part of large on-site Head Office and base of a number of  TToH's wide range of health and social services. 

The Role

Reporting to the Practice Manager, the Kaitūhono Kaitaki – Scheduling Administrator is responsible for managing the Practice rosters for our Clinical staff and whānau facing roles. This is an extremely busy role ensuring the practice is efficiently and appropriately staffed and appointments for whānau needs can be met, based on the daily changes in staff schedules.  This is a full time, permanent role working from 8am to 4.30pm, Monday to Friday [40 hours].

Key tasks also include

  • Managing the roster templates and aligning this with the patient bookings. 
  • Forecast service availability and review data and resourcing needs of patients i.e. long term conditions.
  • Monitor and report against the forecasting plans.
  • Working closely with the Practice Manager and Hauora Leadership team

Ideal candidates will have:

  • Administration experience, ideally in the Health sector using Indici or similar patient management system
  • Great organisational skills, time management and ability to prioritise
  • Accurate attention to detail
  • An understand of Te Reo and tikanga Māori  
  • High standards of client privacy and confidentiality
  • A can-do attitude, flexibility and willingness to go the extra mile
  • Professionalism in all aspects of mahi from personal presentation to mahi 
  • A current, Full Driver’s License
  • Vaccinated for COVID 19
