Who we are

Maritime New Zealand is the national regulatory, compliance and response agency that looks after the safety, security and environmental protection of coastal and inland waterways. Our mission is to lead and support the maritime community to ensure our seas and waterways are safe, secure and clean – on behalf of all New Zealanders. 

Our Communication and Stakeholder Engagement Group consists of our Ministerial Services, Communications, Marketing and Media, Sector Engagement and Collaboration, and America’s Cup. Our role is to coordinate, facilitate and support all parts of the organisation to be great engagers and communicators.

About you

We are looking for experienced all-rounder with the confidence and capability to deliver a broad range of administrative functions for the Communication and Stakeholder Engagement Group. 

While our Managers focus on their respective programmes of work you will ensure the smooth day to day operations, from the management of financial processes such as invoices and credit card transactions, through to more cyclical assistance with planning, reporting, risk management, BCP planning and budget meetings. Other duties include, maintaining office supplies, replenishing stock and providing formal and informal note taking when required. 

Ideally you will bring:

  • Experience managing the end to end administration for a group (or large team) within a medium size corporate or government agency, or for a small organisation
  • Experience delivering top-notch support in a fast paced and sometimes changeable work environment, where you can rapidly establish and maintain constructive working relationships
  • Strong financial and budget planning/administration skills including the ability to follow established corporate processes such as for accruals and invoice tracking
  • Experience with the facilitation of business planning, monitoring and reporting achievement against business plans, Risk Management and Business Continuity planning 
  • Experience in event management, meeting coordination and minute taking.
  • Very proficient at Word, Excel and PowerPoint and adept at learning other software 
  • Clear, influential and persuasive communicator who writes well both formally and informally
  • Liaises effectively with suppliers – ordering, costing, quality checking
  • Has initiative and confidence to share ideas including suggestions for improving processes.
