Mō Tēnei Tūranga Mahi | About the Role

We are seeking a professional and highly organised Front of House and Executive Coordinator for a fixed-term three-month position, with flexibility to the hours worked per day.  The role will provide a welcoming front-of-house experience while delivering reception, executive and administrative support. Coordinate enquiries, meetings, travel and office operations, ensuring efficient service and professional support for students, staff and stakeholders.

The appointing salary for this role will be dependent on skills and experience.

The Front of House and Executive Coordinator reports to the Senior Executive Assistant and will be responsible for:

  • Providing a professional and welcoming front-of-house service for students, staff, visitors and stakeholders.
  • Managing and responding to enquiries across in-person, phone, email and online channels.
  • Coordinating travel, accommodation, meetings and events.
  • Providing administrative support, including document preparation, records management and office coordination.
  • Supporting financial administration activities, including purchase orders and invoice processing.

To be successful in this role you will have:

  • Experience in reception, administration, customer service or office coordination within a professional environment.
  • Strong interpersonal and communication skills with the ability to engage confidently with a diverse range of stakeholders.
  • Excellent organisational skills, with the ability to manage competing priorities and maintain attention to detail.
  • Experience providing administrative and coordination support to managers, teams or business functions.
  • Proficiency in Microsoft Office applications and business systems.
