Mō Tēnei Tūranga Mahi | About the Role

We are seeking a capable and highly organised Facilities & Vehicle Services Co-ordinator to ensure the effective day-to-day management of office operations, facilities services, and the organisation’s vehicle fleet.

This role is critical to maintaining safe, functional, and well-managed workplaces and vehicles. You will coordinate facilities services, oversee fleet administration, manage contractors and suppliers, and ensure compliance with health, safety, and organisational requirements. The role requires strong coordination skills, attention to detail, and a practical, service-focused approach.

The appointing salary for this role will be between $59,700 and $74,600, dependent on skills and experience.

The Facilities & Vehicle Services Co-ordinator is based in our Facilities team reporting to the Head of Facilities and will be responsible for: 

Facilities & Office Services

  • Coordinate the day-to-day operation of office and facilities services across the organisation  
  • Manage facilities contractors and service providers, including cleaning, maintenance, repairs, security, and compliance services  
  • Monitor buildings and workspaces to ensure safety, functionality, and presentation standards are maintained  
  • Support facilities-related compliance activities, including health and safety requirements  
  • Coordinate office access, keys, security passes, and workspace set-ups  
  • Assist with office moves, minor works, and facilities-related projects  
  • Maintain accurate facilities records, schedules, and documentation

Vehicle & Fleet Services

  • Coordinate the administration and day-to-day management of the organisation’s vehicle fleet  
  • Manage vehicle bookings, availability, servicing schedules, WOFs, registrations, insurance, and repairs  
  • Maintain accurate fleet records, usage logs, and compliance documentation  
  • Act as the primary point of contact for vehicle-related enquiries and issues  
  • Support incident reporting, investigations, and follow-up relating to vehicle use  
  • Liaise with suppliers and service providers to ensure vehicles are safe, compliant, and fit for purpose

Administration & Compliance

  • Maintain accurate records, databases, and filing systems for facilities and fleet services  
  • Support compliance with health and safety legislation, organisational policies, and procedures  
  • Assist with procurement processes, including raising purchase orders and processing invoices  
  • Prepare reports and provide information to support audits, planning, and service improvement 

Customer & Stakeholder Support

  • Provide professional, responsive support to staff across the organisation  
  • Build effective working relationships with internal stakeholders and external contractors  
  • Identify opportunities to improve facilities and fleet processes, efficiency, and service delivery

To be successful in this role you will have:

  • Proven experience in facilities coordination, fleet administration, office services, or a related role  
  • Strong organisational and time management skills  
  • High attention to detail and accurate record-keeping  
  • Confidence working with systems and Microsoft Office tools  
  • Clear communication skills and a service-oriented mindset  
  • The ability to work independently and manage competing priorities  
  • A full, clean New Zealand driver licence
