About the role

We have an exciting opportunity for an experienced Executive Assistant, supporting the Head of Investment Strategy Group (ISG) and the Head of Specialised Wealth (SWAT). This role plays a critical part in enabling the effective operation of two high-performing teams. Based in Auckland, this is a permanent full-time role that sits within our Private Wealth team.

The Executive Assistant is responsible for providing administrative support to the Head of ISG and Head of SWAT, including diary management, email management, travel management, and expenses management. Other key responsibilities include:

  • Coordinating meetings, preparing agendas, drafting minutes, and completing tracking and follow up of action items
  • Completing email management, filtering and prioritising for the Head of ISG and Head of SWAT.
  • Supporting preparation of presentations, management reports, business cases, Board Reports and any subcommittee meeting requirements.
  • Responding proactively to changing circumstances and competing priorities within strict deadlines
  • Supporting the ISG and SWAT teams with documentation controls, creating consistency in document management.
  • Identify opportunities to improve administrative processes, including document management, ways of working and leveraging technology (including AI).

About you 

Suitable candidates will have relevant experience in a similar role, with a background in the NZ financial services industry. Additionally, suitable candidates will require:

  • Prior Experience as an EA at a senior leader level
  • A high aptitude for organisation, written and verbal communication skills, and high attention to detail. 
  • Excellent Microsoft Office skills in Word, Excel, Outlook and PowerPoint and experience using SharePoint
  • Demonstrate initiative, confidence and an outstanding customer service approach and professional manner
  • Demonstrate discretion, confidentiality and sound judgement in handling sensitive and confidential matters and documentation
  • Demonstrate the ability to respond proactively and be flexible in a fast-paced environment and be able to juggle competing priorities with strict deadlines
