Mō te Tūranga | About the Role

We're looking for two exceptional Executive Assistants to support members of our Executive Leadership Team (ELT). These are far more than traditional administration roles. You'll be a trusted business partner, working alongside senior leaders to manage priorities, coordinate governance activities, oversee executive workflows, and help drive organisational success. In these highly visible positions, you'll sit at the heart of key business initiatives, connecting executives with senior leaders, hospital teams, Board members, and external stakeholders. You'll provide seamless support through the coordination of complex calendars, executive communications, travel, meetings, events, and organisational activities. You'll also prepare high-quality presentations, reports, Board papers, and executive documentation while ensuring governance processes and critical deliverables run smoothly.

Beyond executive support, you'll play an important role in advancing strategic projects and organisational priorities, helping to maintain momentum and accountability across a wide range of initiatives. With exceptional attention to detail, strong judgement, and a proactive approach, you'll anticipate challenges, identify solutions, and create the structure that enables our leaders to focus on what matters most - delivering outstanding healthcare outcomes for New Zealanders. These roles are full-time permanent positions based in our National Support Office in the Auckland CBD.

Ngā pūkenga me ngā wheako | Skills and experience

  • Extensive experience as an Executive Assistant supporting senior executives, Executive Leadership Teams, or Board-level leaders within a complex organisation
  • Proven experience managing governance processes, Board meetings, committee administration, and minute taking
  • Exceptional organisational and prioritisation skills, with the ability to manage multiple competing demands with ease
  • Outstanding written communication skills, including experience preparing executive reports, presentations, and professional correspondence
  • Advanced Microsoft Office 365 skills, including Outlook, Word, PowerPoint, Excel, Teams, and SharePoint
  • Strong financial administration experience, including invoice processing, expense management, reconciliations, and budget tracking
  • Excellent stakeholder management skills, with the confidence to engage effectively with senior leaders, external partners and stakeholders
  • High levels of discretion, professionalism, and integrity when handling confidential information
  • Exceptional attention to detail, accuracy, and follow-through
  • A proactive and solutions-focused mindset, with the ability to anticipate needs and stay one step ahead
  • Experience working within healthcare, professional services, or similarly complex environments will be highly regarded
