 About the Role
An exciting opportunity exists for an Executive Assistant, supporting the Chief Financial Officer (CFO) and Chief People Officer (CPO). Based in Tauranga, this is a permanent full-time role, within our CFO team. The Executive Assistant is responsible for providing secretarial and administrative support to the CFO and CPO. Discretion is required because of the confidential and sensitive nature of the work. From time-to-time support will also be required for other Head Office Departments and the position will provide assistance with general office administration. You will be required to provide high level and varied executive support, including but not limited to:

  • Calendar and email management, arranging meetings both internal and external
  • Responding proactively to changing circumstances and competing priorities within strict deadlines
  • Coordinating meetings, preparing agendas and drafting minutes, tracking and follow up of action items
  • Support with board level papers and executive level presentations, drafting reports and presentations on behalf of the CFO and CPO as required
  • Maintain staff shareholder records and process share trades
  • Regular contribution to the company intranet
  • Administer expense claims, accounts, invoices 
  • Other general office and administration tasks as requested by the CFO and CPO

About you Suitable candidates will have relevant experience in a similar role, ideally with a background in financial services or supporting Executives or similar.  Additionally, suitable candidates will require:

  • A high aptitude for organisation, written and verbal communication skills, and high attention to detail. 
  • Excellent Microsoft Office skills in Word, Excel, Outlook and PowerPoint and experience using SharePoint
  • Demonstrate initiative, confidence and an outstanding customer service approach and professional manner
  • Demonstrate discretion, confidentiality and sound judgement in handling sensitive and confidential matters and documentation
  • Demonstrate the ability to respond proactively and be flexible in a fast-paced environment and be able to juggle competing priorities with strict deadlines
