Remuneration: $75,000 - $90,000 (Fixed remuneration excluding KiwiSaver)

We are seeking an experienced Executive Assistants to provide high‑level support to our Executive Leadership Team, and governance bodies. This role ensures seamless coordination of strategic initiatives, governance processes, and operational priorities while upholding the integrity and effectiveness of our institutional decision‑making.
This role provides support across five executive members as well as council secretary duties. You will provide proactive administrative expertise, anticipate needs, manage complex priorities, and act as a trusted first point of contact. In the Council Secretary capacity, you’ll support the delivery of high‑quality governance processes, ensuring compliance, accuracy, confidentiality, and smooth meeting operations.
Ngā mahi | Key Responsibilities
• Enable effective executive leadership by anticipating priorities, managing workflows, and ensuring the Executive Team remains focused on critical organisational outcomes.
• Support strategic decision‑making by preparing briefing material, consolidating information across functions, and ensuring leaders have what they need to act with clarity and confidence.
• Strengthen organisational alignment by facilitating communication, connecting workstreams, and ensuring smooth coordination across teams and initiatives.
• Coordinate governance activities, including meeting schedules, agendas, papers, statutory reporting, and minute taking
• Maintain accurate records of governance decisions, disclosures, and commitments
• Support effective governance decision‑making by enabling clear, timely information flow between the Council, subcommittees, and Executive Leadership.
• Maintain governance integrity by overseeing systems, forward plans, and processes that support transparency, accountability, and sound oversight.

You bring:
• Significant experience supporting senior leaders in a medium–large organisation
• Proven governance administration experience (committees, boards, or public sector experience)
• High level of professionalism, discretion, and attention to detail
• Strong organisational and time‑management skills, with the ability to manage multiple priorities
• Excellent written and verbal communication skills and strong document‑preparation capability
• Advanced Microsoft Office and digital capability, with the ability to adopt new systems quickly
• Sound judgement, problem‑solving skills, and the ability to work calmly under pressure
• Commitment to Te Tiriti o Waitangi, equity, and inclusive practice in the workplace
