The Role 

We are on the lookout for an Executive Assistant to join our business based in Newmarket, Auckland. You will develop a seamless working relationship with the CEO and Executive Team, ensuring that the day-to-day operations of the business run smoothly and effectively. As the Executive Assistant you will be one step ahead, looking around every corner to ensure the CEO is working in the most effective and efficient ways. You will bring initiative, energy, intuition, and be a top-class executor.   

 Some key responsibilities include: 

  • Predicting the needs of the CEO, making sure they have the information and resources they need to prioritise and prepare for the day ahead 
  • Calendar, diary, and travel management for the CEO (and Executive team when required) to ensure he is using his time in a structured way 
  • Inbox management to ensure the CEO’s inbox is organized and prioritized, and information is shared with the right people at the right time 
  • Preparation and coordination of weekly, monthly, and quarterly meetings, including board meetings 
  • Work closely with the Executive Team to coordinate project timelines 
  • Keep the Newmarket Head Office running including stationery, facility maintenance and most importantly, snacks and coffee!  
  • Event management as required including the opportunity to manage our incredible annual parties  

Our ideal candidate will have the following attributes and skills: 

  • A minimum of 5 years’ experience in a similar position 
  • Advanced proficiency of Microsoft Office, Word, and PowerPoint 
  • Great communication and relationship building skills  
  • A high level of organisation, accuracy, and attention to detail 
  • The ability to work autonomously and be a confident problem solver 
  • An exceptional work ethic and a passion for delivering and producing results 
  • Is comfortable with the global nature of our business, cultures, time zones, and flexible hours required 
  • A preference to be office-based (with flexibility) to ensure seamless coordination with the CEO and a smooth-running office 
  • Above all, you're a team player with a flexible, enthusiastic, "can do" attitude.
