Napier Port is Central New Zealand’s gateway to global markets, strategically located on the eastern shipping route. As we continue to grow and invest in our future, we’re looking for a highly organised and professional Executive Coordinator to support our Chief Executive, Senior Management Team, and Board of Directors.

This is a pivotal role where you’ll provide high-level executive and coordination support across the business. You’ll manage the CE’s diary, coordinate board logistics, support internal and external communications, and assist with project and event coordination. Your ability to handle sensitive information with discretion and build strong relationships will be key to your success.

What you’ll do

  • Manage the CE’s diary and email with professionalism and efficiency.
  • Coordinate all arrangements and logistics for meetings, travel, and accommodation.
  • Support internal and external stakeholder relationships.
  • Assist with documentation, systems (e.g. SharePoint, Esker, Smart Asset), and procurement of consumables.
  • Provide project and event coordination support including budgeting and cost management for travel and general office management and administration.

What you’ll bring

  • Proven experience in senior executive and director level support.
  • Strong organisational, time management and stakeholder management experience.
  • Office management and administration experience.
  • Excellent communication and relationship building abilities.
  • High attention to detail and a proactive mindset.
  • Proficiency in Microsoft Office and familiarity with digital systems.
  • Ability to handle confidential information with discretion.
  • Ability to co-ordinate and manage complex scheduling and diary management.
  • A formal qualification in Business Administration is desirable.
